Transport is one of those items that belongs on every wedding checklist. Once the engagement is behind them, couples start booking the band, the venue and the date, and drawing up the guest list. Somewhere in all of that it is easy to forget how much the journey matters. Getting everyone to the reception is rarely as straightforward as it first appears. What are the options, and which one should you choose?
You might assume that moving a few dozen people is a simple piece of logistics. In practice it depends entirely on where your guests are coming from, whether they know the area, and how many of them there are. So where do you start, and what should you book?
Start with the guest list
There are three basic options: guests make their own way, you ferry them by car, or you hire a minibus. Each works best in a different situation, and every wedding needs to be treated on its own terms. That is precisely why transport should only be finalised once you have a definitive guest list — complete with the addresses people will be travelling from.
This matters because the couple should be thinking about everyone. Some guests will want to leave early. Others will be heading to a hotel rather than home. There will always be a group who prefer to make their own arrangements. And no one should have to skip the champagne simply because they drove themselves. Badly organised transport leaves a mark on what ought to be one of the best days of your life.
What comes next
Once the guest list is final, you know who needs collecting and from where. The next step is weighing that against what makes sense in terms of both time and money. Given everything else a wedding costs, most couples start looking for savings quickly — and affordable transport can still mean comfort and a prompt arrival at the church, the registry office and the venue. Whichever option you choose, tell your guests how it will work. They need to know who is collecting them, from where, and whether a lift home is included.
Car, minibus or coach?
Before hired transport became commonplace, guests either made their own way or the couple arranged a handful of private cars. In practice this means everyone arrives at a different time, which breeds impatience and occasionally family friction. It also stretches the schedule considerably. Logistically it is the weakest option: you need several drivers, and the fuel bill climbs quickly across all those return trips.
Travelling by car
Moving every guest by car is not economical, but it is still worth having one or two vehicles available. That way someone can always be run home or back to their hotel at short notice. Asking friends to help is the cheapest way to arrange this. Taxis are a fallback when there is genuinely no alternative, though you should expect a noticeably larger bill.
Minibus hire
For several dozen guests, a hired minibus is the strongest option, and it brings advantages that private cars simply cannot match. Everyone boards together and arrives at the venue at the same time, which sets a better tone from the outset and leaves no one feeling overlooked. It is also good value: operators' rates generally compare favourably against the combined fuel cost of running several cars. A minibus is equally worth considering for the journey home after a long night of dancing.
A coach for a long guest list
A minibus is enough for most weddings — plenty are intimate affairs, or run to a few dozen guests. But when the family is large, or the couple want to invite a wide circle of friends, the number can reach a hundred or more. At that point a minibus is no longer sufficient and a hired coach becomes the sensible answer. The aim is to get most people into one or two vehicles at once, which is where the economy lies. Whatever you decide, tell your guests how the day will run so that no one is left guessing until the last moment.
